Missed-call texting for contractors in Manitoba

Manitoba's heating season is among the longest in southern Canada, and Winnipeg dominates demand. Text-back here protects winter calls and answers a steady stream of heat-pump rebate questions.

Few places in southern Canada need heat for as many months of the year as Manitoba, where prairie winters are long and bitter. Winnipeg is the province's largest city and the centre of most contractors' plans, with Brandon, Steinbach, Winkler, Portage la Prairie and Thompson as the other main centres. For contractors, that means a long stretch of the year when a missed call can mean a home without heat, plus a busy market where homeowners compare companies quickly.

Our part is the marketing and communication. We are not a contractor, and we don't install or service any equipment.

What Manitoba callers need

The heating mix is split. Statistics Canada shows that in 2023, 52% of Manitoba households used natural gas and 33% electricity as the energy for their primary heating system. So furnace calls, electric heating calls and heat-pump questions all compete for your attention.

Two caller types dominate missed calls:

  1. The urgent caller in deep winter, with no heat or no hot water, who will try three businesses in ten minutes.
  2. The researching caller asking about heat pumps and rebates, who's in less of a hurry but will judge you on how clearly you answer.

A good setup treats them differently from the first text.

Two first texts, one number

We often set up a first message that sorts these two in one reply, with placeholders:

Hi, this is [Business name]. Sorry we missed your call. Reply 1 if you have no heat or no hot water right now. Reply 2 for anything else, like a quote or a question. Reply STOP to opt out.

  • A "1" alerts the on-call tech and sends: "Thanks. [Your name] will call you within [minutes]."
  • A "2" sends: "Thanks. Tell us a bit about what you need and we'll reply by [time]."

Numbered replies work well when most callers are on phones and in a hurry. They also keep the automation simple, which matters; a person should take over quickly. Our reply scripts cover what comes next.

Programs callers ask about

As of October 2026, several programs generate calls. We link them so you and your callers can check the source; confirm details with the administrator before mentioning them.

  • Efficiency Manitoba's air-source heat pump rebate is listed as open.
  • The Canada Greener Homes Affordability Program is delivered in Manitoba by Efficiency Manitoba; Manitoba's was the first agreement, announced 2025-09-12.
  • New applications from Manitoba to the federal Oil to Heat Pump Affordability program stopped being accepted after 2026-07-31.

Script rule: never tell a caller by text that they're eligible. Offer to talk it through and give them the official link once they've replied.

Regulators to know

For reference only; we don't advise on compliance.

Rural and northern calls

Outside Winnipeg, the challenge shifts from competition to distance. A Brandon or Steinbach business may cover a wide rural area, and a Thompson business serves an even colder, more remote market. For those contractors, text-back mainly protects against the owner being out of reach for an hour or two at a time. We set reply-time promises with the drive in mind and add a location question early, so you can tell straight away whether a job is on your route.

How we'd approach it

Start with last winter's call log and count missed calls by hour. Look closely at the early evening, when people get home to a cold house; if misses cluster there, that window gets the strongest after-hours rules. Then set up missed-call text-back, see pricing, and compare with Ontario or the full list of regions.

Frequently asked questions

Are heat-pump rebate questions a big source of calls in Manitoba?

They can be. Efficiency Manitoba lists an air-source heat pump rebate as open as of October 2026, and Manitoba was the first province to deliver the federal Greener Homes Affordability Program. Scripts should point callers to the official pages rather than confirm eligibility.

How many text-back profiles does a Manitoba contractor need?

Usually two: a winter profile with an emergency path, and a calmer one for spring and summer. Some businesses add a third for the fall rush of first-cold-night calls.

What privacy law applies in Manitoba?

The Office of the Privacy Commissioner explains that the federal PIPEDA generally applies to private-sector businesses in Manitoba.
